Privacy Policy

Updated 13 October 2026

Your privacy is important to us. This policy explains how we collect, use, and protect your information.

Auriga Carpool mobile app

Auriga Carpool is used by authorised drivers and managers to manage their organisation's pool vehicles. Your account is supplied through the Auriga service. Access to bookings, approvals and vehicle checks depends on your role.

Account, journey and vehicle-check information

The service processes your account identity, organisation and access permissions, bookings and amendments, journey details, approvals, vehicle-check answers, handover times, mileage, comments and any photos you attach. It also records favourites and Library induction progress. These records support vehicle use, booking administration, driver guidance and checks. Authorised people in your organisation can access records according to their permissions.

Photos

The app accesses the camera or a selected gallery image when you choose to attach a checksheet photo. It prepares a compressed image for storage with that checksheet. Photos may remain on your device with an unfinished or offline draft before upload. Submitted photos are associated with the booking and are included in checksheet reports available to authorised users. Sharing a report sends it to the app or recipient you choose.

Optional background location

If you choose to enable site-arrival reminders, Auriga Carpool uses your device's location in the background, even when the app is closed or not in use, to remind you about outstanding collection or return checks near the site of your booked vehicle. Site-arrival detection happens on your device. The app does not send your GPS location to Auriga or keep a route history. It stores the booked site's coordinates and reminder state on your device to run this feature. This differs from the collection locations and journey destinations you enter in bookings, which are stored with those bookings on the service.

You can turn arrival reminders off in the app or withdraw location permission in your device settings. Booking and checksheets remain usable without this permission. Signing out removes the app's registered arrival reminders.

Offline information

The app stores account-scoped copies of downloaded information, checksheet drafts, photos and queued changes on your device. Changes retry while the app is open and connected. Sign-out warns about unsent work and removes local drafts after you confirm. Exported documents and files you share may remain outside the app under your control.

Passkeys and optional notifications

When you create a passkey, the service stores its public credential and account association. Face ID, fingerprint and device-unlock checks are handled by your device; Auriga does not receive your biometric template. The app sends an installation identifier when checking notification settings. Where push reminders are configured and you enable them, the service records a device notification token and reminder preferences to deliver notifications through Apple's or Google's notification service.

Library and external services

Library resources may open an external website or video provider. That provider receives the requests needed to show its content and applies its own privacy practices. Sharing or opening an exported file uses the destination you choose.

Requests about your data

Bookings, checksheets and attached photos are retained for three years after your account closes. For access, correction or deletion requests, contact help@auriga.technology. Codable support coordinates with ScottishPower to handle requests concerning your Carpool records.

Auriga Opus mobile app

Auriga Opus is Codable Ltd's workshop and business management service. Its iOS and Android apps connect to the Opus service using your organisation-provided account. Your organisation controls the modules, records and permissions available to you; there is no public account registration in the app.

Depending on the modules your organisation enables and the actions you take, Opus may process:

  • Names, work email addresses, phone numbers, account identifiers, organisation memberships and access permissions.
  • Customer and supplier contact details, vehicle records, workshop jobs, inspection answers, photographs, signatures, documents, messages and notes.
  • Quotes, invoices, purchase orders, payments and other business financial records entered by authorised users or supplied by your organisation's configured integrations.
  • Technician activity, timesheets, attendance, holiday and absence records. Absence notes may contain health information where your organisation uses these features.
  • Locations entered in records or provided through a supported location feature with your permission; the app does not continuously track background location.
  • Search requests, operational audit history and technical information such as IP addresses, device or browser information and error diagnostics needed to operate and secure the service.

We use this information to authenticate users, provide workshop and administration tools, save and retrieve records, support organisation-configured integrations, investigate faults and maintain security and audit history. Authorised users in your organisation can access records according to their permissions. Your organisation may also direct information to its customers, suppliers or connected business systems. Hosting and technical service providers process data to operate the service. We do not sell Opus app data or share it with advertising networks, and the app does not use advertising identifiers.

Opus uses HTTPS for connections to the service. The app stores session information and may cache web content on your device. Supported inspection and activity forms can save local drafts, including entered information and attachments, until submitted or removed. Opus requires an internet connection for sign-in, loading live records and submitting changes; local drafts do not make every feature available offline. Camera and file-selection access is used when you choose to attach supporting material. Uninstalling the app does not delete records already stored by your organisation.

Retention depends on the type of record, your organisation's requirements and applicable legal obligations. To request access, correction or deletion of your Opus account or personal data, contact your organisation's administrator or email help@auriga.technology with the subject “Auriga Opus data request”. Include your work email, organisation and the account or records concerned; do not include your password. We may verify your identity and coordinate with your organisation. Some workshop, employment or accounting records may need to be retained to meet legal obligations or resolve claims; we will explain any relevant limits on deletion.

Auriga Fleet mobile app

Auriga Fleet is provided by Codable Ltd for drivers and team leaders in participating organisations. This policy covers the iOS and Android apps as well as this website. Your organisation provides your account and controls your role, fleet records and access permissions; the app does not offer public account registration.

The information processed depends on the features you use and may include:

  • Your name, work email, phone number, account identifiers, organisation, role and authorised device identifiers.
  • Vehicle allocations, walkaround answers, inspection dates, mileage, signatures, photographs, defect reports, accident reports and other notes you submit.
  • Incident locations that you enter, witness and third-party contact details, insurance information, damage estimates and whether injuries were reported.
  • Training, compliance and driving records made available by your organisation, reminders, document acknowledgements, search requests and records of actions taken in the service.

We use this information to authenticate users and devices, provide fleet tools, store and synchronise submissions, display authorised records and maintain operational and security audit records. The app does not use advertising identifiers or advertising tracking, and does not automatically track your GPS location. Incident locations are entered by the user.

Submitted records are available to authorised people in your organisation according to their permissions. Hosting and other service providers process information to operate the service. Reports are not posted to a public social feed, and we do not sell app data or share it with advertising networks.

Offline storage and device access

Auriga Fleet stores downloaded fleet information and saved checks and reports on your device so that supported features remain available when connectivity is limited. Photos and signatures attached to drafts can also remain on the device. Saved submissions upload when the app is open and connectivity is available. Data sent to the Auriga service is encrypted in transit using HTTPS.

Camera or photo-library access is used when you choose to attach a photo. Signing out clears the app's account session and cached records; the app asks you to upload pending checks and reports first. Signing out or uninstalling the app does not delete records already held in your organisation's Auriga workspace.

Auriga Fleet retention and deletion requests

Fleet records can form part of your organisation's inspection, safety, training and incident history. Their retention depends on the purpose of the record, your organisation's requirements and any applicable legal obligations. Ending app access does not automatically erase that history.

To request access, correction or deletion of your app account or personal data, contact your organisation's Auriga administrator or email help@auriga.technology with the subject “Auriga Fleet data request”. Include your work email, organisation and the records or account concerned. Do not send your password.

We may need to verify your identity and coordinate with your organisation. A request can cover account and device information, contact details, submitted photos and signatures, and personal information in checks or reports. Some operational or incident records may need to be retained to meet legal obligations or resolve claims. Contact us for the retention requirements that apply to your organisation and records, including any information that cannot yet be deleted.
